Babysitter Discount Program

Eligible Users
Faculty and staff members of Nagoya University, including part-time employees (excluding TAs and RAs), who would have difficulty continuing to work (including returning to work) without using babysitter services due to a spouse’s employment, illness or medical treatment, job-seeking activities, enrollment in school, vocational training, or because they are part of a single-parent household.
Eligible Children
Children from 0 years old through the end of the 3rd grade of elementary school (Note 1), and
Children up to the 6th grade of elementary school who require care for sound development (Note 2). Note 1:
When using the service for the purpose of returning to work, eligibility is limited to childcare for children below compulsory school age.
Note 2:
This includes cases in which the child has been issued a Physical Disability Certificate or a Rehabilitation Certificate. Please contact us for further details.
Discount Amount
Up to two discount vouchers per eligible child per day (or per use)
2,200 yen per voucher
Maximum discount: 4,400 yen per day (or per use)
Only services with a fee of at least (number of vouchers used × 2,200 yen) per use are eligible.
Conditions of Use
  1. Babysitter services may be used only for work-related purposes, including returning to work.
    At the beginning of the month following the date of use, users are required to submit a copy of their attendance record or a record from the work management system to the administrative office of the Gender Diversity Center (hereinafter referred to as “the Office”) in order to verify employment status.
    Please note that if employment on the date of use cannot be confirmed, the discount will be revoked.
  2. The service may be used only for childcare in the user’s home or for transportation to and from childcare facilities.
    It may not be used for childcare provided outside the user’s home, including babysitter facilities, group childcare, event-based childcare, hospital childcare, or care provided at the babysitter’s residence.
  3. Please apply for the number of vouchers in accordance with your babysitter usage plan and indicate the planned dates of use at the time of application.
    Vouchers will not be issued if the planned dates of use are not specified.
  4. Discount vouchers may not be lent or transferred to others.
  5. Vouchers may not be used retroactively prior to the date of issue
    (except for services used between April 1 and April 30, FY2025).
  6. Usage limits for discount vouchers are as follows:
    Up to two vouchers per eligible child per day (or per use)
    Up to 24 vouchers per household per month
    Up to 280 vouchers per household per year
    When the service is used specifically for the purpose of “returning to work”:
    One voucher per household per day (or per use)
    Up to four vouchers per fiscal year
  7. Eligible Babysitter Service Providers
    Babysitter service providers must be those designated as authorized voucher-handling providers by the National Childcare Service Association (Public Interest Incorporated Foundation).
    Please refer to the Association’s website for the list of authorized providers.

How to Apply

Please select a babysitter service provider from among the authorized voucher-handling providers (see the URL above) and conclude a service contract and submit a service application in advance.
When doing so, please ensure that the contract (or service application form, etc.) clearly states the following information:

・Address, name, and name of the representative of the babysitter service provider
・Address and name of the user
・Description of services and fees
・Conditions under which the babysitter service provider is exempt from liability in the event of an accident
・Other information necessary for the use of the service

For first-time use in each fiscal year, users are required to submit the following documents to the designated office by email or other means at least one week prior to the initially scheduled date of use.

・Babysitter Discount Voucher Application Form
(available for download at the bottom of this page)
・Copy of the contract with the babysitter service provider
(if a formal contract is not available, a copy of the service application form is acceptable)
・Copy of the applicant’s staff ID card or a copy of the notice of employment conditions
・Documents demonstrating that it would be difficult for the applicant to work without using the babysitter service, such as: a certificate of employment of the spouse (or other documents confirming employment),
documents confirming the spouse’s illness or medical treatment,
proof of interview dates in the case of job-seeking activities,
proof of training dates for vocational training,
proof of enrollment in school, or other relevant documentation

For the second and subsequent uses, please apply by email by providing the planned dates of use and the number of vouchers required for one month.
In principle, applications should be submitted within the previous month, and no later than three days prior to the first planned date of use.
If discount vouchers are needed on short notice, please contact the administrative office as soon as possible.

Each week, the administrative office will send an email containing the URL for the discount vouchers to be used in the following week.
By clicking the URL on your smartphone, an electronic discount voucher screen will be displayed.
Please present the electronic discount voucher displayed on your smartphone to the babysitter service provider at the time of use.
You will be required to scan a QR code presented by the babysitter service provider or follow other designated procedures.

After using the babysitter service, please submit a copy of your attendance record or a record from the work management system by the 10th of the following month to verify that you were working on the date(s) the discount voucher(s) were used.
Submission should be made by email or other designated means to the administrative office of the Center.

Important Notes

  1. The number of discount vouchers is limited.
    To ensure that as many users as possible can benefit from the program, please apply only for the number of vouchers needed in accordance with your babysitter usage plan.
  2. Please present the discount voucher to the babysitter service provider immediately at the time of service use.
    If vouchers are retained without being presented to service providers, the University’s available voucher allocation may be depleted, which could prevent the issuance of new vouchers to other users.
  3. If your plans change and you are unable to use issued vouchers, please notify the administrative office.
    Unused vouchers may be carried over to the following month upon notification.
    If there is no plan to use them in the following month, the vouchers will be canceled; please be sure to inform the administrative office.
    Failure to comply with these procedures may result in suspension of voucher use.
  4. If you change the contracted babysitter service provider during the course of use, please submit a copy of the new contract or service application form to the administrative office.
  5. All applications and inquiries must be made directly by Nagoya University faculty or staff members.
    Applications submitted through spouses or other third parties outside the University will not be accepted.
  6. Please note that the method of use and eligibility conditions may be reviewed and revised depending on usage status.

Childcare Leave System

Watching your child grow and thrive is a wonderful experience. At the same time, many parents may find it challenging to balance work and childcare. To support mothers and fathers in such situations, a variety of childcare leave systems are available. We encourage you to make use of the system that best suits your own circumstances.
Details of the childcare leave system vary depending on employment status and working hours. For further information, please contact the administrative office of your respective department or unit.

Childcare Leave System

This is a system that allows employees to take leave from work for a certain period in order to care for a child until the child reaches the age of three.

Employees may take childcare leave for the purpose of raising their child at any time up to the child’s third birthday. The system is available to all employees regardless of gender, and may be used irrespective of whether the employee’s spouse is employed. Through this system, we aim to create an environment in which employees can more easily balance work and family responsibilities.

Partial Childcare Leave System

This system allows employees who are raising a child before the end of the fourth grade of elementary school to work with reduced regular working hours.

Employees caring for a child before the end of the fourth grade of elementary school may shorten their daily working hours under this system. By making use of this arrangement, it becomes easier to manage nursery or school drop-offs and pick-ups and to secure sufficient time for childcare.

Short-Time Work System for Childcare

This system allows employees who are raising a child who has not yet entered elementary school to work with reduced daily working hours.

Under this system, employees caring for a preschool-age child may shorten their working hours. It enables them to continue working while reducing their regular working hours and securing time to spend with their family.

Sick Childcare (Asunaro Nursery School)

Nagoya University provides a sick childcare service so that faculty, staff, and students can continue their work or studies with peace of mind when their child becomes suddenly unwell or is in the recovery phase of an illness. Under this service, qualified professional staff provide temporary childcare at a designated facility, offering attentive and individualized care. Prior registration is required, and part of the usage fee is subsidized by the University.

How to Use the Service

  • If you need to cancel a sick childcare reservation, please contact Asunaro Nursery School by 8:00 a.m. on the day of use.
  • Note 1:
    In principle, reservations must be made by the previous day. However, in emergency cases, same-day reservations may be accepted if accommodation is possible without disrupting regular childcare operations. Use of the service is on a first-come, first-served basis. Depending on capacity, the child’s condition, or the type of infectious diseases of other children being cared for, admission may not be possible even if capacity has not been reached.
  • Note 2:
    If your child is examined at the Pediatrics Department of Nagoya University Hospital, a non-insurance combined medical care fee of 7,700 yen is required at the initial visit. There is no charge for preparing the “Physician’s Report” document.

Handling of Expenses for Accompanying a Child on Business Trips and Childcare Costs (Internal Use Only)

When faculty members of the Tokai National Higher Education and Research System need to travel for academic conferences or other research-related purposes and it is necessary to bring a child along on the trip, the handling of expenses for accompanying the child and for temporary childcare required during the trip is as follows.

Declaration Form for School Attendance and Employment Status

This declaration form is intended for use when students of Nagoya University apply for admission to licensed childcare centers. By having the academic supervisor certify the student’s enrollment and employment status, the form requests that local governments give due consideration to the student’s priority in the admission adjustment process. Please note that this is an optional document prepared by the Center, and there are no fixed rules regarding its format or wording. Users are free to adapt it as needed. For employment outside the University, applicants are required to obtain a separate certificate directly from their employer.
