Subsidy Program for English Proofreading Costs for Manuscripts Submitted to Academic Journals

This program is implemented as part of the Ministry of Education, Culture, Sports, Science and Technology (MEXT) Subsidy Program for the Development of Science and Technology Human Resources, “Initiative for Realizing Diversity in the Research Environment (Leadership Training Type for Women),” which was adopted in FY2023. Using subsidy funds or university funds, the program provides financial support for English proofreading costs of manuscripts submitted to academic journals or books, with the aim of fostering truly outstanding female researchers.

Eligibility
1. Manuscripts Submitted to Academic Journals
Criteria for Eligible “Academic Journals”
In principle, journals must meet the following criteria. Applicants may be asked to submit materials related to the journal during the review process.
The journal must be an English-language academic journal that conducts peer review (conference abstracts are not eligible).
Submission guidelines, editorial board information, and related details must be publicly available in English.
The article or its abstract must be accessible to researchers worldwide via the web or other platforms.

2. Books
Criteria for Eligible “Books” under This Program
The book must be an English-language academic book that undergoes peer review by editors or equivalent reviewers (reports and textbooks are not eligible).
The work must be either a single-authored book or a chapter in an edited volume (book chapter).
The book must be available for purchase through major bookstores or equivalent outlets.

3. Authors and Application Period
The applicant must be the principal author of the work (first author or corresponding author).。
English proofreading must be conducted and completed between May 1, 2025, and the end of February 2026.
The manuscript must be fully written at the time of application.
Support from this program may be provided only once per manuscript.
Number of Awards and Amount
Number of awardees: Approximately 10
Amount of support: Approximately 100,000 yen
(If the amount exceeds 100,000 yen, please consult with us in advance.)
* Limited to one application per person.
* Depending on the number of applications, recruitment may be closed during the fiscal year.
* Costs cannot be combined with other funding sources.
Eligibility Requirements
Female researchers affiliated with Nagoya University (including specially appointed faculty, researchers, and medical staff; students and research students are excluded).
Note: JSPS Research Fellows (PD, etc.) and visiting researchers who do not have an employment relationship with Nagoya University are also eligible, provided that all of the following conditions are met:

Nagoya University is the applicant’s primary place of employment.
The host department/unit at Nagoya University is clearly specified.
The affiliation “Nagoya University” is indicated in the publication.
The applicant holds a doctoral degree.

Applicants who have not yet obtained a doctoral degree are not eligible. Individuals who are employed by Nagoya University but have student status (including certain medical staff who are also students) are also excluded.
Application Procedure
Please submit the following documents at any time by email or internal mail to the administrative staff of the Gender Diversity Center. Applications will be accepted until the budget is exhausted.

If the English proofreading is for a manuscript submitted to an academic journal, please download and submit the “Application Form for Academic Journal Manuscripts.” If it is for a book, please download and submit the “Application Form for Books.”

Cost Estimate for English Proofreading (Copy)
Please address the estimate to “Tokai National Higher Education and Research System.” Additional documents may be requested to confirm how the amount was calculated.
Selection Process and Notification of Results
Selection Method: Decisions will be made based on a review of the submitted documents and, if necessary, additional explanations provided by the applicant.
Notification of Results: Applicants will be notified on a rolling basis.
Procedures After Approval
Payment procedures will be handled by the Center for Gender Diversity. Based on the Cost Estimate for English Proofreading (copy) submitted at the time of application, a Purchase Order (Purchase/Procurement Confirmation Form) will be prepared by the Center and sent to you by email. After the applicant places the order and the proofreading service is completed and delivered, please promptly submit the following documents to the administrative staff of the Center for Gender Diversity:
Original cost estimate for English proofreading
Original delivery note for the proofreading service (with the inspection stamp of the Inspection Center)
Original invoice for the proofreading service
Copy of the manuscript that has undergone English proofreading

Notes:
Manuscripts supported under this program must be submitted to the journal or outlet specified in the application. If the manuscript is published, please submit an offprint or equivalent document to the administrative staff of the Gender Diversity Center. If it is not published, please submit a notification indicating that outcome.
Recipients of this support will be asked to submit information on their research achievements (such as the number of publications and external research grants obtained) when preparing reports to be submitted to the Ministry of Education, Culture, Sports, Science and Technology (MEXT).
Recipients are encouraged to actively participate in training programs, symposia, and other events organized by the Gender Diversity Center.
Please note that the implementation guidelines may be revised during the fiscal year depending on the application status.

Mentor Program

A mentor program is also offered in which participants can receive advice from senior researchers and other experienced professionals, providing support for addressing career-related challenges. The Center for Gender Diversity in particular offers mentor programs tailored to the needs of women and those balancing childcare, caregiving, and other responsibilities.

Purpose

The Faculty Mentoring Program is expected to provide the following benefits for mentee faculty members:

  • Gaining someone with whom they can easily consult about work or personal matters
  • Deepening their understanding of the university
  • Acquiring the knowledge and skills necessary for duties such as teaching and research
  • Receiving support in balancing major life events—such as marriage, childbirth, childcare, and caregiving—with their work
  • Having opportunities to reflect on and envision their career path
  • Building various networks through their mentor faculty member

The Faculty Mentoring Program is also meaningful for mentor faculty members. Interacting with newly appointed faculty can bring fresh ideas and energy, and it also provides an opportunity to reflect on one’s own teaching and research and to consider future career development.
